Position: National Coordinator Assistant
Location: Vientiane Capital, Lao PDR
Contract Duration: 1 year (renewable based on performance and funding availability)
Reports to: National Coordinator
- Background
The Secretariat of the Lao Civil Society Organization (CSO) Platform is a coalition of civil society organizations working collectively to strengthen coordination, capacity development, advocacy, and information sharing among CSOs in Lao PDR. The Platform aims to enhance the effectiveness and visibility of CSO contributions to national development, with a particular focus on community-led initiatives and engagement with key populations.
Through its Secretariat, the Platform supports its members in project implementation, knowledge exchange, policy dialogue, and capacity strengthening—ensuring alignment with national economic and social development priorities.
- Purpose of the Position
The National Coordinator Assistant will play a key supporting role in the day-to-day coordination, administration, and implementation of the Platform’s activities. The Assistant will work closely with the National Coordinator to ensure smooth operations, effective communication, and timely reporting across projects and partnerships. This role contributes directly to the efficient functioning and strategic impact of the Lao CSO Platform.
- Key Responsibilities
- Project Management and Coordination Support
- Support the planning, coordination, and monitoring of Platform projects and activities in line with annual work plans.
- Assist in organizing meetings, workshops, and consultation events, including preparation of agendas, minutes, and follow-up documentation.
- Track project progress, budgets, and deliverables to ensure timely completion and compliance with donor requirements.
- Provide administrative and coordination support for project implementation with CSO members and partners.
- Administrative and Logistical Support
- Maintain organized filing systems and documentation for all project-related activities, reports, and correspondence.
- Assist in the preparation of progress reports, proposals, and funding requests.
- Coordinate procurement and logistical arrangements for meetings, training sessions, and provincial visits.
- Support financial documentation related to activity implementation and reporting.
- Communication and Liaison
- Serve as a focal point for communication between the Platform Secretariat, member CSOs, government counterparts, and development partners.
- Support the dissemination of information, updates, and key messages through newsletters, emails, and social media channels.
- Assist in the preparation of communication materials and reports that highlight Platform activities and achievements.
- Field and Travel Support
- Coordinate logistical arrangements for field missions, meetings, and events conducted outside Vientiane.
- Provide on-site administrative and technical support during field visits and activities, ensuring proper documentation and reporting.
- Qualifications and Competencies
Education and Experience:
- Bachelor’s degree in social sciences, project management, public administration, or a related field.
- Minimum of two (2) years of relevant experience in project coordination, administrative, or support roles, preferably within CSOs, NGOs, or development projects.
Skills and Competencies:
- Strong organizational, planning, and time management skills.
- Excellent communication and interpersonal abilities in both Lao and English.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
- Demonstrated ability to work both independently and as part of a team in a multicultural environment.
- High level of integrity, responsibility, and attention to detail.
- Willingness to travel occasionally to provincial sites.
- Terms of Engagement
- The Assistant will work under the direct supervision of the National Coordinator and in close collaboration with other members of the Secretariat.
- This is a full-time position based in Vientiane Capital, with occasional travel to provinces as required.
- The initial contract will be for one (1) year, renewable subject to satisfactory performance and funding availability.
- The position requires adherence to the Platform’s policies, confidentiality obligations, and professional code of conduct.
